DATES/HOURS: Sat and Sun, April 18 & 19, 10 a.m.— 5 p.m. Each vendor must remain
open for the entire duration of the event. The event is held rain or shine
PROMOTION: This event will be advertised in print, radio, billboard and online. We ask that vendors consider adding our links and logos to any advertising you are doing encouraging clients to come meet you at the Green Fair! Please check box on application to have our materials sent to you.
SET UP: Vendors share space under a large 40 X 120 tent or in the educational building. A single space is 10 x 10. All vendors must be set up between 8:00 – 9:30 a.m. on Saturday. Please be on time! Volunteers will be available to help unload your vehicles in order to expedite the set-up process. Tables are available for rent. Electricity will be available by prior arrangement only. All equipment must be removed by 6:00 p.m. at the end of the event. Any activity deemed dangerous or questionable by event staff will be prohibited and violators will be asked to leave the site. Vendors who will be selling or sampling food will be asked to use compostable paper products as part of our new zero trash goal. We will have compost bins for food and paper waste and recycling bins for bottles and cans. Consider the environmental impact of any free give-a-ways, raffled prizes and handouts by minimizing the packaging for such items and printing handouts on double-sided, post-consumer recycled paper. Also, please call the Greenfield Board of Health to arrange for appropriate food permits at 413-772-1404.
ACCEPTANCE/DEADLINE:
All products and services to be displayed must be environmentally friendly. To avoid duplication, craft and commercial applications are accepted as first come, first served. The GBA reserves the right to refuse any vendors application, and will return full space fees with rejected applications. Should you choose to withdraw your application, we reserve the right to withhold 10% of application fees and will not refund any fees after March 15th.

Two weeks from now we all be looking forward to a sunny weekend with lots of action and fun at the Green Fair. Attached you will find your vendor confirmation letter, the .pdf of our poster to put on your website (link to www.greenfieldgreenfair.com), and a list of your comrades for the weekend.
We will have volunteers during the day if you need a break from your table. Most of you have been with us or know the area, but if you need directions, please check with me..it will help to know where you are coming from. Dress in layers and with good weather shoes (we are standing on grass for the most part). The tent will be heated if weather requires (which, of course, we won't need since it will be a wonderful, warm , dry weekend) and bring a good attitude, that is always the most important thing.

IT IS GOING TO BE GREAT, GET ENERGIZED!
Thank you for choosing to be with us at the 2009 Green Fair. We appreciate your support and hope the exposure will benefit your organization. We expect between 2500 and 4000 people to stop in over the weekend. Don’t be alarmed. You will not have to speak to each of them! They wander in and out, some for very specific purpose and others happen by all tables. You can expect to have several hundred conversations over the two days.
Booth location or placement is pre-assigned. You will be shown your location when you arrive. Each vendor is allotted a 10 X 10 space (unless you requested a double) and a 6 foot table and 2 chairs (if ordered in advance). There will likely be some wiggle room, but best to plan on space being cozy.
Set-up: You may set up on Saturday, April 18th from 8:00-9:30 am. We ask you to be set up early as we don’t want to mix moving vehicles and people in the fairgrounds. The fair opens at 10 am. If you have ordered a table and chairs, it will be there when you arrive. We will not be able to make changes once we begin set-up. The fair gates will be locked and tent closed up on Saturday night, but if you have valuables you would prefer not to leave overnight just plan to be fully set up by 9:30 a.m. on Sunday.
Parking: There will be no charge for guest or vendor parking. However guests must come through the main gate where a $2 per person donation will be requested. It is a donation, so no-one will be left out, but I wanted you to know about it. As with last year, vendors will be asked to park in a designated area after you have unloaded.
Food: There will be a variety of fresh and hot food available. Vendors who will be selling or sampling food must serve on compostable paper products as part of our new zero trash goal. We will have compost bins for food and paper waste and recycling bins for bottles and cans. Please do not serve food on styrofoam or plastic plates. Examples of compostable tableware include paper plates (Chinet recommended), cups, and "boats", and compostable utensils, plates, cups made of bagasse, corn, potato, etc. Please do not use plastic utensils.

Promotion: There will be print and radio ads in the region as well as southern Vermont and New Hampshire. We encourage you to include the show in your own advertising. The billboard on Route 2 (across from the Quality Inn) is up. I have attached a pdf. copy poster design for you to use in any promotion you may be doing separately and to attach to your web site to help promote the event and give folks advance notice of your participation. Also find attached a list of vendors for both Saturday and Sunday.
Removal of Goods: Please plan to break down and remove items from the tent by 6:00 p.m. on Sunday, April 19th
